Time Off

Manage user unavailability and time off

Block time when users are unavailable for work assignments.

Access

  • All users - Manage own time off
  • Admin/Dispatcher - Manage team time off

Adding Time Off

  1. Click Add Time Off
  2. Select start date
  3. Select end date (optional, for multi-day)
  4. Choose all-day or specific hours
  5. Select reason
  6. Add notes (optional)
  7. Save

Reasons

  • Vacation - Planned time off
  • Sick - Illness or medical
  • Training - Professional development
  • Personal - Other personal reasons

All-Day vs Partial

All-Day

User unavailable for entire day(s).

Example: Vacation Dec 23-27 (5 full days)

Partial Day

Block specific hours only:

Example: Doctor appointment

  • Date: Dec 21
  • Time: 14:00-16:00
  • User available before and after

Multi-Day Ranges

Select a date range for consecutive days:

  1. Set start date
  2. Set end date
  3. All days in between are blocked

Example: Dec 23 to Dec 27 creates 5 unavailability entries.

Grouped Display

Consecutive days with same settings are grouped:

Instead of:

  • Dec 23 - Vacation
  • Dec 24 - Vacation
  • Dec 25 - Vacation

Shows:

  • Dec 23-25 - Vacation (3 days)

Effect on Scheduling

Unavailable time affects:

  • Route optimizer - Won't schedule work during blocked time
  • Manual assignment - Shows warning if assigning during time off
  • Calendar view - Displays unavailability blocks

Removing Time Off

Click Remove on any time off entry:

  • Single entries removed individually
  • Grouped entries remove all days in group

Mobile Access

Technicians can add their own time off from the mobile app:

  • Same options as web
  • Syncs immediately
  • Visible to dispatchers
